Overview :
The Procurement Executive is responsible for assisting the procurement department in sourcing, negotiating, and purchasing materials and components required for the bus body manufacturing process. The role involves maintaining supplier relationships, managing purchase orders, tracking deliveries, and ensuring that all materials meet the required quality standards and delivery schedules. The Procurement Executive plays a key role in ensuring the timely and cost-effective supply of materials to support production.

Key Responsibilities: Supplier Sourcing & Relationship Management:
Assist in identifying and evaluating potential suppliers for materials, parts, and components. Build and maintain strong relationships with suppliers to ensure reliable delivery and competitive pricing. Negotiate contracts and terms with suppliers, ensuring favorable pricing and payment terms.

Purchase Order Management: Process purchase orders for required materials based on production needs and ensure timely approval. Track and follow up on orders, ensuring materials are delivered on time and in accordance with purchase agreements. Manage documentation related to procurement, including invoices, receipts, and supplier contracts.

Inventory and Stock Monitoring: Monitor inventory levels to ensure sufficient stock is available without causing overstocking. Coordinate with the store and production departments to anticipate material needs and avoid stock outs.

Quality Assurance: Ensure all purchased materials meet the company’s quality standards and specifications. Collaborate with the quality control team to inspect materials and handle any non-conformance issues.

Cost Control: Work with the procurement manager to identify cost-saving opportunities through vendor negotiations and alternative sourcing. Maintain cost records and contribute to monthly/quarterly procurement reports.

Compliance & Documentation: Ensure compliance with all legal and regulatory requirements related to procurement, including environmental and safety standards. Maintain accurate records of all transactions and documentation, ensuring transparency and audit readiness.

Vendor Performance Evaluation: Assist in evaluating supplier performance based on quality, delivery time, and price competitiveness. Provide feedback to suppliers and suggest improvements where necessary.

Timely Procurement: Ensure materials are procured and delivered on time to meet production schedules and avoid delays.

Cost Management: Achieve cost savings through effective negotiations and alternative sourcing strategies while maintaining material quality.

Inventory Management: Maintain optimal stock levels, avoiding both overstocking and stock outs that could impact production.

Supplier Relationship Management: Build and maintain strong relationships with suppliers to ensure reliability and consistency in quality and delivery.

Compliance & Documentation: Ensure all procurement activities comply with internal policies, regulations, and documentation requirements.

Key Performance Indicators (KPIs):

On-Time Delivery:
% of materials delivered on time: Track the percentage of materials received on time according to the agreed schedule with suppliers.

Cost Savings:
% reduction in procurement costs: Measure cost savings achieved through negotiations, bulk purchasing, or alternative sourcing.

Supplier Performance:
Supplier on-time delivery rate: Measure the performance of suppliers based on their ability to deliver materials on time. % of supplier defects: Track the quality of materials delivered, identifying the percentage of defective or non-conforming goods.

Inventory Levels:
Inventory turnover rate: Measure how efficiently inventory is being used, ensuring optimal stock levels.
Days of inventory on hand: Track the number of days inventory stays in stock before being used in production.

Purchase Order Accuracy:
% of accurate purchase orders: Track the accuracy of purchase orders processed, ensuring no discrepancies in quantity, specifications, or delivery timelines.

Compliance:
% adherence to procurement policies: Ensure that all procurement activities comply with company policies and regulatory requirements.
Number of audit findings related to procurement: Measure the number of compliance issues identified during internal or external audits.

Qualifications and Skills:
Bachelor’s degree in Supply Chain Management, Business Administration, or a related field. 2-4 years of experience in procurement, preferably in the automotive or manufacturing industry. Strong negotiation and communication skills. Good understanding of procurement processes, supply chain management, and vendor relationship management. Proficiency in using procurement software and ERP systems. Attention to detail and ability to work under tight deadlines. Strong organizational and multitasking abilities.
